It allows your users to enter the data you want to process a certain request. Digital Form triggers refer to the triggers that occur through the submission of a digital form. For example, let us consider an <\/span><i><span style=\"font-weight: 400\">employee expense report<\/span><\/i><span style=\"font-weight: 400\">. An employee has submitted an expense report of $1000. After the submission, the system fetches the user-related information through an API request and follows the approval process. In this scenario, the system uses the API request. The process flow of the Digital Form Trigger is explained below.<\/span><\/p>\n<\/div><\/div><div class=\"w-separator size_medium with_line width_default thick_1 style_solid color_border align_center\"><div class=\"w-separator-h\"><\/div><\/div><div class=\"wpb_text_column\"><div class=\"wpb_wrapper\"><h4><strong>Configure Digital Form Trigger<\/strong><\/h4>\n<ol>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">After you log in to the Process App, it lands you on the <\/span><b>Flow <\/b><span style=\"font-weight: 400\">tab.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">On the right pane, click <\/span><b>Digital Form<\/b><span style=\"font-weight: 400\"> under <\/span><b>Triggers<\/b><span style=\"font-weight: 400\">.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">On the <\/span><b>Digital Form Trigger <\/b><span style=\"font-weight: 400\">window, select <\/span><b>Create New Form<\/b><span style=\"font-weight: 400\"> from the <\/span><b>Forms <\/b><span style=\"font-weight: 400\">drop-down list.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">On the New Form dialog box, enter the following details:<\/span>\n<ol>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Name &#8211; Enter a name for the digital form. For example, Expense Report<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Display Name &#8211; Enter a display name to easily identify the name.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Description<\/span> <span style=\"font-weight: 400\">&#8211; Enter a short description of the digital form<\/span><\/li>\n<\/ol>\n<\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Click <\/span><b>Create<\/b><span style=\"font-weight: 400\">.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">On the <\/span><b>Digital Form Trigger <\/b><span style=\"font-weight: 400\">window, click <\/span><b>Add Access Control<\/b><span style=\"font-weight: 400\">. It lands you on the <\/span><b>Forms <\/b><span style=\"font-weight: 400\">page and you can add a component in the master form. You can only update <\/span><i><span style=\"font-weight: 400\">Read-only<\/span><\/i><span style=\"font-weight: 400\">, <\/span><i><span style=\"font-weight: 400\">Is-Visible<\/span><\/i><span style=\"font-weight: 400\">, and <\/span><i><span style=\"font-weight: 400\">Visibility <\/span><\/i><span style=\"font-weight: 400\">settings through access control.\u00a0<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Under the <\/span><b>HTML to embed form<\/b><span style=\"font-weight: 400\"> section, you can find the HTML code. Click <\/span><b>Copy <\/b><span style=\"font-weight: 400\">to copy the HTML code. You can use this <\/span><span style=\"font-weight: 400\">HTML iframe <\/span><span style=\"font-weight: 400\">code <\/span><span style=\"font-weight: 400\">to embed the trigger form in your website. This is needed only if<\/span><span style=\"font-weight: 400\"> you <\/span><span style=\"font-weight: 400\">do not use the <\/span><i><span style=\"font-weight: 400\">portal <\/span><\/i><span style=\"font-weight: 400\">and the <\/span><i><span style=\"font-weight: 400\">process app<\/span><\/i><span style=\"font-weight: 400\"> is for public access.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Click <\/span><b>Done<\/b><span style=\"font-weight: 400\">. You can find the trigger created on the Process Builder.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Start to build the flow by notifying the initiator (employee).<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">On the left pane, you can find the <\/span><b>Events <\/b><span style=\"font-weight: 400\">section. Drag and drop the <\/span><b>Notify <\/b><span style=\"font-weight: 400\">stencil from this section to the builder.\u00a0<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Click the <\/span><b>Notify <\/b><span style=\"font-weight: 400\">stencil to open the Notify window.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">On the Notify window, enter the following details:<\/span>\n<ol>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Name &#8211; Enter a name for the notification message.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Delivery Mode &#8211; Select the mode of communication to notify the employee.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Recipients &#8211; Enter the email address of the employee to receive a notification. You can also use <\/span><i><span style=\"font-weight: 400\">context <\/span><\/i><span style=\"font-weight: 400\">or <\/span><i><span style=\"font-weight: 400\">variables<\/span><\/i><span style=\"font-weight: 400\"> from the trigger.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Subject &#8211; Enter the subject for the notification email.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Compose Message &#8211; Enter the relevant text related to the notification. It also supports <\/span><i><span style=\"font-weight: 400\">context <\/span><\/i><span style=\"font-weight: 400\">and the <\/span><i><span style=\"font-weight: 400\">addition of variables<\/span><\/i><span style=\"font-weight: 400\"> so that you can include them while composing the message.<\/span><\/li>\n<\/ol>\n<\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Close the Notify window.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Make an API request to fetch the Manager details of the initiator (employee).<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">On the left pane, you can find the <\/span><b>Integrations <\/b><span style=\"font-weight: 400\">section. Wait for the test to be completed and you get a <\/span><i><span style=\"font-weight: 400\">Status Code: 200<\/span><\/i><span style=\"font-weight: 400\">.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">You can see an array of records returned by the API call. In the next step, values are parsed using JavaScript.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Click <\/span><b>Save<\/b><span style=\"font-weight: 400\"> on the top-right of the page.<\/span><\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Close the Connect to API<\/span> <span style=\"font-weight: 400\">window.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">After the successful completion of the API request, the system fetches the Manager details and assigns the task (expense report approval).<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">On the left pane, you can find the <\/span><b>Tasks <\/b><span style=\"font-weight: 400\">section. Drag and drop the <\/span><b>Approval Task <\/b><span style=\"font-weight: 400\">stencil from this section to the builder.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Click the <\/span><b>Approval Task <\/b><span style=\"font-weight: 400\">stencil to open the Approval Task<\/span> <span style=\"font-weight: 400\">window.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">On the Approval Task window, enter the following details:<\/span>\n<ol>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Name &#8211; Enter a name for the approval task.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Task Results &#8211; You can find <\/span><b>Approve <\/b><span style=\"font-weight: 400\">and <\/span><b>Reject <\/b><span style=\"font-weight: 400\">options. Choose to approve or reject the task. You can also rename these options or click <\/span><b>Add an Outcome<\/b><span style=\"font-weight: 400\"> to add more options like <\/span><i><span style=\"font-weight: 400\">On-Hold<\/span><\/i><span style=\"font-weight: 400\">.<\/span><\/li>\n<\/ol>\n<\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Click the <\/span><b>Notifications <\/b><span style=\"font-weight: 400\">tab to configure the notification settings.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Select a <\/span><b>Delivery Mode<\/b><span style=\"font-weight: 400\"> from the drop-down list: Bot or API or Email.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Under the <\/span><b>Response <\/b><span style=\"font-weight: 400\">section, select a <\/span><i><span style=\"font-weight: 400\">Get Response<\/span><\/i><span style=\"font-weight: 400\"> option to send the Manager\u2019s response. These options differ based on the delivery mode selected. If the delivery mode is <\/span><i><span style=\"font-weight: 400\">email<\/span><\/i><span style=\"font-weight: 400\">, you can get responses through a form or email. If the delivery mode is <\/span><i><span style=\"font-weight: 400\">bot<\/span><\/i><span style=\"font-weight: 400\">, you can get responses through a form or conversational experience. If the delivery mode is <\/span><i><span style=\"font-weight: 400\">API<\/span><\/i><span style=\"font-weight: 400\">, you can get responses through APIs. In this example, the selected delivery mode is <\/span><i><span style=\"font-weight: 400\">email<\/span><\/i><span style=\"font-weight: 400\">.<\/span>\n<ol>\n<li style=\"font-weight: 400\"><b>Get Response through a Form<\/b><span style=\"font-weight: 400\"> &#8211; If selected, the<\/span><i><span style=\"font-weight: 400\"> Form URL<\/span><\/i><span style=\"font-weight: 400\"> will be inserted into the message composed in the <\/span><i><span style=\"font-weight: 400\">Compose Message<\/span><\/i><span style=\"font-weight: 400\"> section.<\/span><\/li>\n<li style=\"font-weight: 400\"><b>Get Response through Email<\/b><span style=\"font-weight: 400\"> &#8211; If selected, <\/span><i><span style=\"font-weight: 400\">Buttons <\/span><\/i><span style=\"font-weight: 400\">for the result outcomes are appended to the message composed in the <\/span><i><span style=\"font-weight: 400\">Compose Message<\/span><\/i><span style=\"font-weight: 400\"> section.<\/span><\/li>\n<\/ol>\n<\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Under the <\/span><b>Compose Message<\/b><span style=\"font-weight: 400\"> section, enter the following details:<\/span>\n<ol>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Subject &#8211; Enter the subject for the response mail.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Compose Message &#8211; Enter the details of the response message.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Click <\/span><b>{..}<\/b><span style=\"font-weight: 400\"> to add variables to the message. You can select any of the below options:<\/span>\n<ol>\n<li style=\"font-weight: 400\"><b>Single Recipient<\/b><span style=\"font-weight: 400\"> &#8211; If selected, you can send the response to the recipient configured in this section.<\/span>\n<ol>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Enter the recipient email address in the <\/span><b>Recipient ID<\/b><span style=\"font-weight: 400\"> field.<\/span><\/li>\n<\/ol>\n<\/li>\n<li style=\"font-weight: 400\"><b>Multiple Recipients<\/b><span style=\"font-weight: 400\"> &#8211; If selected, you can send the response to multiple recipients configured in this section.<\/span>\n<ol>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Enter recipient email addresses separated by a comma in the <\/span><b>Recipient ID<\/b><span style=\"font-weight: 400\"> field.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Under the <\/span><b>Assignment Logic<\/b><span style=\"font-weight: 400\"> section, select an option:<\/span>\n<ol>\n<li style=\"font-weight: 400\"><b>Assign to All<\/b><span style=\"font-weight: 400\"> &#8211; If selected, the system assigns the task to all recipients.<\/span><\/li>\n<li style=\"font-weight: 400\"><b>Least Occupied<\/b><span style=\"font-weight: 400\"> &#8211; If selected, the system assigns the task to the recipient with the least number of open tasks.<\/span><\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<\/li>\n<li style=\"font-weight: 400\"><b>Group <\/b><span style=\"font-weight: 400\">&#8211; If selected, you can send the response to a group. Only one of the recipients from the group can complete the task\u00a0<\/span>\n<ol>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Enter the group email addresses separated by a comma in the <\/span><b>Group ID<\/b><span style=\"font-weight: 400\"> field.<\/span><\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Close the Approval Task<\/span> <span style=\"font-weight: 400\">window.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">After assigning the task, the Manager can approve or reject the task. To perform this action, you need a logic stencil. You do not always need logic to perform this task, it depends on the use case. But, in this example, a logic stencil is used.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">On the left pane, you can find the <\/span><b>Logic <\/b><span style=\"font-weight: 400\">section. Drag and drop the <\/span><b>Split <\/b><span style=\"font-weight: 400\">stencil from this section to the builder.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">The Split stencil is added to the builder with two branches (Branch1 and Branch2).<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Click the <\/span><b>Split <\/b><span style=\"font-weight: 400\">stencil to open the Split window.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">On the Split window, enter the following details:<\/span>\n<ol>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Name &#8211; Enter a name for the split action. For example, Manager Decision.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Branches &#8211; Edit the branches (Branch1 and Branch2) as Approved and Rejected.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Split Logic &#8211; Select any of the below options:<\/span>\n<ol>\n<li style=\"font-weight: 400\"><b>Execute all Branches<\/b><span style=\"font-weight: 400\"> &#8211; If selected, all branches are executed simultaneously.<\/span><\/li>\n<li style=\"font-weight: 400\"><b>Execute on Condition <\/b><span style=\"font-weight: 400\">&#8211; If selected, you can define a condition in the <\/span><b>Define Condition<\/b><span style=\"font-weight: 400\"> section below. You can define conditions based on <\/span><i><span style=\"font-weight: 400\">Process Fields, Context, <\/span><\/i><span style=\"font-weight: 400\">and <\/span><i><span style=\"font-weight: 400\">Process Context<\/span><\/i><span style=\"font-weight: 400\">. For example, let us select <\/span><i><span style=\"font-weight: 400\">Process Fields<\/span><\/i><span style=\"font-weight: 400\">.\u00a0<\/span>\n<ol>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Under the <\/span><b>If <\/b><span style=\"font-weight: 400\">condition, <\/span><b>Select Field Value<\/b><span style=\"font-weight: 400\"> and <\/span><b>Less than<\/b><span style=\"font-weight: 400\"> from the respective drop-down lists. In the <\/span><b>Value <\/b><span style=\"font-weight: 400\">field, enter <\/span><i><span style=\"font-weight: 400\">$2000<\/span><\/i><span style=\"font-weight: 400\">.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">From the <\/span><b>Go to Branch<\/b><span style=\"font-weight: 400\"> drop-down list, select <\/span><b>Approved<\/b><span style=\"font-weight: 400\">.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">In the <\/span><b>Add Else-If<\/b><span style=\"font-weight: 400\"> section, select <\/span><b>Rejected <\/b><span style=\"font-weight: 400\">from the <\/span><b>Else Go To Branch<\/b><span style=\"font-weight: 400\"> drop-down list.<\/span><\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Close the Split window.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">The next step is to notify the employee about the status of the expense report.
